Operations & Events Coordinator

Job Summary:
As a member of the Questa Education Foundation team, the Operations and Events Coordinator plays a key role in
supporting the organization’s operational efficiency, stakeholder engagement, and mission-driven programming.
This position is responsible for coordinating events, managing administrative processes, supporting board
operations, and maintaining accurate reporting and data systems.
In this role, the Operations and Events Coordinator will undertake a variety of event planning, administrative
coordination, and communications duties, including organizing stakeholder events, supporting board
engagement, coordinating outreach schedules, and assisting with reporting and marketing initiatives. The goal of
this role is to ensure seamless organizational operations, strengthen engagement with donors and partners, and
support Questa’s mission to help students access postsecondary education and graduate with less debt.

Essential Job Functions:
Event Planning: Plan and implement engaging and well-organized events that strengthen relationships with
donors, scholars, alumni, employer partners, and community stakeholders while advancing Questa’s mission and
visibility.
• Plan special events for donors, scholars, alumni, and employer partners, including Questa’s annual donor
appreciation, scholar networking, staff retreat, and employer talent convening events.
• Coordinate and manage event logistics including facility rentals and setup, catering, marketing, and
registrations.
• Manage event budgets and track expenses in coordination with leadership.
• Support event marketing and coordinate invitations, RSVPs, and attendee communication.
• Manage on-site event logistics including setup, scholar/alumni coordination, and vendor management.
• Track event participation and evaluate event outcomes to inform future programming.

Reporting and Data: Maintain accurate data and reporting systems to support program evaluation, stakeholder
communication, and organizational decision-making.
• Prepare grant, funder, and college partner reports throughout the year.
• Conduct regular data audits and updates to ensure accuracy of records.
• Maintain and update SalesForce records related to scholars, donors, partners, and outreach activities.
• Support donor and funder communication through data preparation and reporting.
• Support research and resource network updates.

Schedule Coordination: Coordinate outreach and leadership scheduling to maximize Questa’s presence in the
community and support effective engagement with prospective students, partners, and stakeholders.
• Manage program outreach schedule, including college and financial aid fairs, presentations, and
classroom visits.
• Coordinate activities and outreach with area high schools, colleges, and community organizations.
• Track outreach events and participation to support reporting and program evaluation.
• Assist in preparing presentations, materials, and information packets for outreach events.
• Manage scheduling for the President and CEO.

Marketing and Social Media Support: Support marketing and communication efforts that promote programs,
engage stakeholders, and increase awareness of Questa’s mission and services.
• Support Compass social media content and management.
• Assist with scheduling social media posts highlighting scholars, events, partners, and Questa updates.
• Coordinate content collection including photos, partner logos, event highlights, and scholar stories.
• Help track marketing engagement metrics and maintain communication lists.

Board Support: Provide effective administrative and logistical support to the Board of Directors to ensure
productive meetings, strong engagement, and efficient governance processes.
• Prepare board meeting packets and materials and maintain the board online portal.
• Coordinate board meeting logistics including scheduling, meeting space, technology, and refreshments.
• Record and distribute meeting minutes.
• Maintain board member contact information and documentation.
• Plan board orientation and manage annual paperwork including conflict-of-interest and governance forms.
• Support committee meeting scheduling and communications.
• Assist with tracking board member engagement and participation in organizational activities.

Secondary Job Functions:
• Provide general administrative support for organizational operations as needed.
• Assist with website, social media, and marketing material updates as needed.
• Assist with special projects, initiatives, and cross-team collaboration.
• Support office operations including coordination of supplies, vendors, and internal systems.
• Provide occasional on-site support for outreach presentations and community events.
• Other duties as assigned to meet organizational goals.

Qualifications:
• Bachelor’s degree in business administration, nonprofit management, communications, event
management, or a related field.
• 3–5 years of experience working in event planning, administrative coordination, nonprofit operations, or
related activities.
• Strong organizational and project management skills with the ability to manage multiple priorities and
deadlines.
• Exceptional customer service and relationship-building skills with donors, partners, and community
stakeholders.
• Excellent written and verbal communication skills.
• High attention to detail and ability to manage complex logistical processes.
• Experience with data management systems, CRM platforms, or reporting tools.
• Demonstrated ability to work independently while collaborating effectively within a team environment.

Work Schedule: This is a full time, exempt position. Office hours are 8am-4:30pm, Monday-Friday. Depending on
the project cycles and workflow demands, additional hours or workday schedule changes may be required.
Minimal regional travel for events will be required.

Salary Range: $45,000-50,000

Program & Outreach Officer – Questa Education Foundation

Program and Outreach Officer

Job Summary:
As a member of the Questa Education Foundation team, the Program and Outreach Officer is responsible for
providing support for scholars throughout Questa programs and leading outreach to generate awareness,
applications, and strong school and community partnerships. In this role, the Program and Outreach Officer will
undertake a variety of administrative and program management duties, including student communication and
outreach activities – all with a focus on student support and success.

Essential Job Functions:
Program Implementation: Plan and implement program activities, special projects, and other initiatives designed
to achieve the overall mission and goals of Questa programs.
• Collaborate with the Director of Programs and the programming team to manage the Traditional Scholars
program and support other Questa programs
• Implement strategies to support long-term program goals, including program enrollment, scholar success,
and graduate connections for careers in Northeast Indiana
• Serve on the Questa program team to support promotion, implementation, and success of all Questa
programs.

Scholar Support: Serve as a consistent contact to support scholars throughout their Questa program experience,
from application through graduation, to ensure exceptional service and support for scholars’ academic and
professional success.
• Provide support to scholars throughout the Questa program, including applications, initial loan meetings,
and semester compliance checks
• Serve as the primary point of contact for assigned Traditional Scholars and perform daily compliance and
account management responsibilities for scholars
• Accurately input, update, and maintain student records and school contacts in SalesForce and manage all
digital system processes for applications, awards, agreements, and compliance
• Generate and analyze reports to support program operations and outcomes
• Ensure prompt professional communication with scholars, families, staff, and volunteers

Outreach and Education Activities: Prepare presentations, provide postsecondary financial aid education, and
represent Questa at events to achieve a strong applicant pool, promote student resources, and build
organizational awareness.
• Serve as one of the primary Questa representatives to promote the Traditional Scholars and other
opportunities to high school student audiences
• Develop and provide expertise in postsecondary financial aid planning and processes, including promotion
of Questa Compass and other resources to support students and families
• Collaborate with community partners to provide financial aid education and promote Questa programs
and resources

Graduate Support: Help graduates to transition from college, earn debt forgiveness by meeting regional and/or
partner commitments, and establish repayments as needed.
• Meet with graduates to process graduation compliance, award debt forgiveness, and establish repayment
plans when needed.
• Communicate with graduates to ensure clear transitions from scholar to alumni and to maximize debt
forgiveness opportunities.
• Collaborate with the finance team to manage graduate processing and communication
School and Community Partnerships: Cultivate strong partnerships with school systems and community
partners to ensure collaboration and coordinated resources and support for students.
• Serve as a liaison with internal and external constituencies to promote Questa programs and represent
Questa on a local and regional basis
• Develop and maintain relationships with area high schools and community organizations and assist with
college partner relations

Qualifications:
• Bachelor’s degree in education, human services, nonprofit management, or related field
• 1-3 years of experience working in higher education, nonprofit, and/or student-oriented fields
• Exceptional customer service, attention to detail, public speaking, written and verbal communication skills
• Experience with college financial aid, data management, and/or community relations strongly preferred
• Spanish or other second language skills preferred

Work Schedule: This is a full time, exempt position. Office hours are 8am-4:30pm, Monday-Friday. Depending on

Scope of the Position

Performs Preventive maintenance, fabricates and repair to all equipment and facility to ensure safe and efficient operation of machinery, hydraulics and electrical equipment and electrical components

Responsibilities

· All work must be performed in a safe, efficient manner in compliance with Company policy.

· Contributes to team effort by accomplishing related results as needed.

· Awareness and understanding of Environmental Policy (ISO 14001) and Quality Policy (IATF 16949) guidelines and how the position’s responsibilities impacts on environment and quality.

· Shows leadership to the workforce by his/her decision-making skills, motivational efforts, fairness and consistency so that employees are well aware of their performance and individual importance in the department.

· Ensures personnel performing work affecting product quality shall be competent on the basis of on-going training, appropriate education, skills and experience.

· Performs other duties as required by Manager/Supervisor to keep pace with changes in the scope of work.

· Provides assistance to other skilled trades in the event of production or staffing emergencies.

· Other duties as assigned.

· Works with supervisors, engineers, management to provide most effective maintenance solutions in the facility.

· Assist with production difficulties related to Roll form process, setup and operation.

 

SPECIFIC RESPONSIBILITIES:

 

· Rebuilds production equipment including, air motors, hydraulic pumps, water pumps, coolant pumps, diaphragm pumps.

· Maintains, fabricates and repairs all production, support and facilities as needs.

· Performs all preventative maintenance, responds to production breakdowns throughout the facility moves and installs standard equipment.

· Dismantles and assembles complicated machines to determine cause of problem.

· Completes preventative maintenance requirement on Roll Mills, Roll mill support equipment, conveyer systems, air compressors, Ventilation systems and troubleshooting malfunctions.

· Locates sources of problems by observing, using precision measuring of testing instruments, micrometers, calipers, tape measure.

· Lift equipment and dies using cranes and lift trucks.

· Installs new equipment and assists supplier with testing.

· Prepares work report at the end of each shift.

· Receives work orders, performs the repairs and writes a completion report and notifies the supervisor.

· Makes purchase requests to the supervisor for required parts.

· Maintains all equipment, and support equipment using grease gun, oils, and replacement parts, welding using MIG, Stick, and occasional TIG. Use of shop equipment lathes, mills hand grinders.

· Reading and understand electrical, hydraulic and pneumatic prints.

 

SKILL: Troubleshooting mechanical and electrical problems using known methods.

 

WORKING CONDITIONS: Work environment is representative of those that an associate may encounter to preform the essential functions of the job, including outside activities year round. Lifting up to 75 pounds and will be required to sit, stand, walk, see and hear, bending reaching and lifting.

Qualifications

QUALIFICATIONS: 3-5 years experience in industrial maintenance.

 

EDUCATION: High school diploma or equivalent

 

Experience: Industrial maintenance, mechanical, electrical hydraulic and pneumatic.

 

REQUIRED TRAINING: Lockout/Tag out, Forklift safety, Crane safety, Spill Response, required in house training listed is not fully inclusive of all the requirements.
